Job Summary
Absa Bank is seeking a proactive and organized Team Assistant to coordinate, plan, and execute day-to-day administrative and operational activities. This role ensures seamless diary management, meeting coordination, travel logistics, and adherence to organizational policies.

Key Responsibilities
Diary, Meetings, Events & Travel Management
- Manage the manager’s diary using Outlook, schedule and track meeting invitations, and ensure MS Teams links are included.
- Coordinate and prepare meeting documentation, minutes, and packs.
- Arrange venues, catering, and travel (domestic and international) in line with Absa’s travel policy.
- Support new team members with onboarding logistics (laptop, access card, etc.).
- Organize team functions, events, and logistics efficiently.
General Administrative Support
- Provide general office and visitor support, including filing, document preparation, and correspondence.
- Order stationery, handle photocopying, scanning, and document binding.
- Maintain an up-to-date team contact database and manage department files on the shared drive.
- Retrieve and return bank property from departing employees (e.g., laptops, cellphones, access cards).
- Ensure policy compliance for travel, expenses, and company procedures.
Accounts & Cost Maintenance
- Obtain quotes, generate purchase orders, and verify invoices from approved suppliers.
- Follow up on payments with Accounts Payable and reconcile corporate card expenses monthly.
- Manage document archiving and retrieval.
Logistical Coordination
- Oversee office moves and liaise with Facilities Managers.
- Coordinate catering and venue setup for meetings and events.
- Ensure timely delivery of meals and meeting resources.
Operations Support
- Support vendor onboarding and management.
- Coordinate procurement activities and conduct service reviews.
- Maintain supplier relationships to ensure service quality.
Qualifications & Experience
- Education: National Senior Certificate / Matric (Grade 12) with an Office Administration Diploma (NQF Level 4).
- Experience: Minimum 2 years in an administrative or support role (banking experience preferred).
- Skills:
- Strong interpersonal, planning, and organizational skills.
- Proficiency in MS Office (Outlook, Word, Excel, PowerPoint).
- Excellent written and verbal communication.
