Judge’s Secretary

  • Reference Numbers: 2024/176/OCJ (Western Cape) and 2024/177/OCJ (KwaZulu-Natal)
  • Salary: R308,154 – R362,994 per annum (Level 07)
  • Location: Cape Town (Western Cape Division) & Pietermaritzburg (KwaZulu-Natal Division)
  • Contract: Permanent, includes signing a performance agreement

Requirements

Education:

Matric Certificate

Secretarial Diploma or equivalent

LLB Degree or completion of at least 20 modules toward an LLB, BA, or BCom Law degree (preferred, not required)

Experience: 1-3 years in a secretarial or office assistant role, ideally within a legal setting

Additional Skills:

Valid driver’s license

Typing proficiency (candidates may be required to pass a typing test)

MS Office proficiency

Strong communication, organization, and time management skills

Attention to detail and confidentiality

Exceptional interpersonal skills


Key Responsibilities

Administrative Support:

Schedule and manage appointments, meetings, and travel arrangements

Maintain and organize case files, ensuring accuracy and timely filing

Compile reports, manage court records, and update judgment registers

Court and Case Preparation:

Prepare case files and support Judge in circuit courts

Handle exhibits, record proceedings, and endorse case files with orders

Prepare judgment documents, manage court rolls, and notify stakeholders on judgment schedules

Resource Management:

Maintain the Judge’s library, update legal publications, and manage office supplies

Submit Judge’s logbook and handle claims and data submissions as required

Legal Research and Compliance:

Conduct legal research as directed and ensure compliance with Departmental policies and regulations

Application Requirements:

Form: Applications must use the New Z83 form, downloadable from www.judiciary.org.za or www.dpsa.gov.za.

Supporting Documents: Submit a recent, comprehensive CV and contact details of referees. Shortlisted candidates will be asked to provide certified copies of qualifications and related documents during interviews.

Foreign Qualifications: If applicable, include an evaluation certificate from SAQA. Dual citizenship holders should provide a police clearance from their country of origin (if shortlisted, all non-South African citizens must provide proof of permanent residency).

Additional Information for Senior Management Service (SMS) Applicants:

  • Shortlisted candidates will complete a technical competency exercise, and final recommendations will include managerial competency assessments mandated by the DPSA.

  • Successful candidates will be required to sign an employment contract, performance agreement, and undergo security clearance within three months of appointment.
